RPA / Traditional Workflow Automation
Software that executes a defined, rule-based sequence of steps across systems. The sequence is fixed at design time. The software does not reason; it follows the script exactly as written. When conditions deviate from the script, it fails or escalates.
Copilot / AI Assistant
AI embedded in a productivity application that assists a human user with suggestions, completions, drafts, and summaries. The human remains the decision-maker and the driver of the workflow. The AI accelerates the human's work; it does not replace the human's presence in the loop.
Agentic AI
AI systems that pursue goals autonomously through multi-step reasoning, tool use, and adaptive planning. The agent determines its own sequence of actions based on the current task state. Human oversight is designed in — but at calibrated points, not at every step.

High volume, stable format, known sources, rule-based matching — this is exactly what traditional automation was designed for. An agent would add governance complexity and cost without adding capability the process requires. Build a robust RPA solution with clear exception paths and invest the savings elsewhere.
Helping account executives draft client proposals faster
The account executive is and should remain the primary author. The goal is acceleration, not replacement. A copilot that drafts sections, suggests talking points, and summarizes account history is the right tool. An agent would be over-engineering — the human needs to stay in the loop for every output because the output represents the firm's relationship with the client.
Reviewing 200 contracts per month for non-standard clauses and producing exception reports
Unstructured input (contracts), multi-step task (read, extract, compare, flag, report), cross-domain judgment (identifying non-standard clauses requires understanding of standard templates and acceptable variation), and volume sufficient to justify the build. RPA cannot handle unstructured documents; a copilot still requires a human to read each contract.

Continuous monitoring across unstructured sources, relevance judgment (not every news article about a supplier is material), multi-supplier scope (an analyst covering this manually would be fully occupied), and a well-defined output (structured risk flag with supporting evidence). An agent that monitors on a defined cadence, retrieves and reads relevant sources, applies materiality criteria, and routes flagged items to the procurement team is significantly more scalable than the analyst-driven alternative.
Syncing customer data between CRM and ERP on a nightly schedule
Scheduled, structured, rule-based, high-volume, stable format between known systems — this does not need an agent. An agent would add governance complexity and model inference cost to a task that a well-designed integration or RPA script handles deterministically. If the systems have a supported API integration, use that first. If not, a targeted RPA implementation is appropriate.
Onboarding new employees across IT, HR, facilities, and payroll systems
The routine, sequential steps — provision accounts, assign equipment, schedule orientation — are well-suited to workflow automation. The judgment-heavy steps — interpreting onboarding requirements for non-standard roles, resolving conflicts between HR policies and hiring manager preferences, handling exceptions — benefit from an agent. A hybrid architecture with a workflow automation layer for structured steps and an agent for exception handling often produces the best outcome.

Multi-source data retrieval, synthesis of structured and unstructured inputs (financial data plus commentary from business unit leaders), variance analysis requiring contextual judgment, and a formatted output for a specific audience. A report-generation agent that queries each system, synthesizes the data, produces variance explanations, and routes the draft to a reviewer before distribution handles this more consistently than a team of analysts — and with a documented evidence trail for each output.
